How I Built My Own AI Execution System — and Why I Coach Others to Do the Same

I used AI for months without a system. The result was exactly what you'd expect: a very capable tool that reflected my disorganization back at me in complete sentences. The problem wasn't the AI. It was that I had no structure for using it. And without structure, AI is just a faster way to spin your wheels.

The Problem I Was Actually Trying to Solve
When I became the responsible broker of Pinedale Properties, something changed. The job I had gotten good at suddenly required more of everything — more communication, more administrative work, more leadership, more oversight. On top of that, I had goals I wanted to drive for the office in addition to managing the day-to-day.
The gap between how hard I was working and what I was actually producing started to widen. I'd end a day exhausted and look back at it trying to identify what I'd actually moved forward. Most days, I couldn't point to much. I was responding to everyone, available to do everything, and directing nothing.
I started studying productivity — YouTube, books, interviews with people who had figured this out. It was through this search that I discovered a concept that reframed everything for me: context switching is not a minor inconvenience. It is a productivity killer so consistent and so invisible that most people never identify it as the actual problem.
Every time I answered a question, responded to a message, or shifted from one task to another without finishing the first, I was paying a recovery cost I wasn't tracking. My days felt full. My output said otherwise.
What I Tried Before I Built Something That Worked
I want to be specific here because I know how this sounds. Everyone says they've tried everything. Here's what I actually tried:
I told my co-workers I wasn't available when my headphones were on. That policy didn't last. My presence signals availability.
I started getting to the office earlier than everyone else. That bought me maybe thirty or forty minutes before the day took over again.
I tried notebooks. Notes on my desk. A desk calendar. A digital calendar. At one point, multiple digital calendars simultaneously. I tried task-tracking apps. I read books. I used ChatGPT without any structure and got some decent answers, but had no way to keep track of what I was doing.
None of it worked for the same reason: there was no architecture underneath it. Each tool worked in isolation. Nothing connected. Nothing held.
Here's a simple example of a nagging shortfall: for years, our office tried to send one email per month to our client list. One per month. We couldn't do it consistently. There was no system behind it, so it kept falling apart. After I built my system, I went to six to eight emails per month — a comprehensive market update and a weekly blog post I write myself. Same person. Completely different output. The only variable was the system.
What I Actually Built
The system I use is called Pallume Journal. It runs inside Claude, an AI platform I configure specifically around how I work — my goals, my values, my patterns, my specific failure modes. Every morning, I open it, type the time and date, and say:
Let's run a journal.
Ten minutes. That's it. The check-in is not a long exercise and it's not designed to be. Its job is focus and idea capture, not reflection. Here's what it walks me through:
A gratitude entry. One thing. Brief. This isn't soft — it's a reset. It moves my head out of reactive mode before the day begins and helps me remember things that matter.
A brain dump of noise. Worries, anxieties, unresolved things that are sitting in the background taking up space. Getting them out of my head and into the system clears room for actual work.
A stream of consciousness. Ideas, observations, impressions from the day before, comments on ongoing business situations, things I want to accomplish. Unfiltered. The AI reads all of it.
A rotating daily theme. Every day of the week has a different focus. One day I identify someone who helped me that week and reach out to thank them. Another day I evaluate what I'm giving time to that doesn't deserve it, and decide what to replace it with. These themes keep the check-in from becoming routine in the wrong way. And when it's time, I update the structure and move these themes into new areas that need attention.
The journal ends with the specific things I need to protect uninterrupted time for in order to move the needle. By the time I close the check-in, I know exactly what I'm doing next and why.
Over time, this system begins to surface patterns that I could never recognize on my own — which gets at what an AI execution system actually is. The value is in the AI's grasp of the data you generate over time.
What the AI Does That a Notebook Can't
A notebook doesn't remember what you wrote two weeks ago. A calendar doesn't notice that you've rescheduled the same task four times in three weeks. An app can remind you. It can't tell you why you keep ignoring the reminder.
The AI does all of these things — not because it's smarter than you, but because it has no ego, no agenda, and no blind spots about your patterns. It sees what you've told it across thirty days of entries and tells you what it observes. That feedback lands differently than feedback from another person. One of my clients texted me in her first week: "Why is it so much easier to take criticism from Claude than from another person?"
The answer is simple. There's no relationship to manage, no feelings to protect. The system tells you what it sees. That's exactly what accountability is supposed to do.
And then there's the coach layer. I read each client's weekly summary. I identify what the AI surfaced, what it missed, and what the system needs to handle better. That combination — AI pattern recognition plus human interpretation — is what no app replicates on its own.
Why I Coach Others to Build Their Own — Not Use Mine
Every client gets a system built for them from scratch. Not a template. Not a framework applied to their situation. A configuration built from a deep-dive interview about how they actually work — their energy patterns, their failure modes, their goals, their values, the specific ways they get stuck.
Two clients can come in with identical-sounding problems and leave with completely different systems. Because they're different people. A system that works for one will fail the other at exactly the point where those people diverge.

The system gets sharper the longer you use it. Months of data produce insights that a single diagnostic snapshot never could. That's the compounding effect I've watched in my own system and in the systems I've built for clients: the longer it runs, the more precisely it knows you.
What Changes When the System Is Running
My mornings are protected. My priorities are clear before the first interruption arrives. Ideas that used to disappear now get captured and surface at the right moment. The things I said I'd do — the system remembers them, and so do I.
For the office, the output changed measurably. One email per month that we couldn't sustain became two per week that I produce without thinking about whether I'll have time. The system made it inevitable.
That's what a real system does. Not motivate. Not remind. Make the right action the default.
